Web Attendance Roster Tool
If you are tasked with processing drops to fulfill the mandatory first day class attendance policy, consider using the new Web Attendance roster tool. This tool allows you to circumvent NWRDC and the process of dropping students one-by-one. Instead, you may indicate all of the individuals who should be dropped and process those drops as a group when you submit the roster. Additionally, this system allows you to drop a student's course, even if it is that student's last class. You no longer have to report that category of drop to the Registrar's Office if you use the Web Attendance roster tool. If you chose not to use the tool and need assistance processing drops, please report them to the Registrar's Office as you have in the past. Follow the directions given below to utilize the roster tool:
- Log in to Blackboard and click the Secure Apps tab.
- Click either the Class roster or Enrollment Reporting-rosters link.
- Enter your search criteria. This may be either a course prefix and number or your academic department.
- Select the campus location of the course.
- Select the appropriate year and term—in this case Spring 2006.
- Choose the Report type Attendance Roster. A list of classes that meet your search criteria is returned.
- Click the section of the class for which you want to process drops. A list of students with their names and pictures appears.
- NOTE: A box in the upper-right hand corner is labeled Active Students. This box contains the vital signs of the course and indicates the number of present, absent, absent and dropped, and unaccounted for students. At first, all students enrolled in the class are designated as as unaccounted for.
- Only click a student's picture if you want to drop him or her from the class. Do not click a student's photo if they were present. For the pictures you click, the word absent appears under or by the student's name. Should you click the wrong picture, click it again to mark the student present~the picture button works as a toggle switch between present and absent.
- Click the Save button located at the top or bottom of the page. Doing so marks the rest of the students as present. Should you need to make a change before clicking the Submit button, simply click the picture again and the status changes. Make sure you save any changes you make.
- After you indicate which student(s) should be dropped for non-attendance, click the submit attendance button. Doing so cues up all the students to be dropped,and the system begins processing them within a minute or so.
- CAUTION: Unlike grade rosters, you cannot recall or change a submitted roster. The Save and Submit attendance buttons become inactive. After the roster is submitted, the drops are processed in real-time. If you are waiting for additional information before processing the drops, simply enter your changes and click save. Students are not dropped from classes until you click the submit attendance button. If you chose to hold off submitting drops for some reason, please remember to submit them before the end of the day, especially the last day. Any additional drops for the class must be processed by hand using the NWRDC screens or by reporting these to the Registrar's Office as usual.
- EXAMPLE: Five students out of thirty are marked absent. After clicking the Submit button, due to a system error, only three students are dropped. The three are indicated as dropped. The remaining two still present as absent, not yet dropped, and the submit button remains active. This allows for a re-submission to finish the task of dropping the two remaining students. If the problem persists, then you should contact the Registrar's office.
Tips
- If you are working wait lists, consider going into the CSM and either reducing the caps of the courses before running the drops, or zero-capping the courses first. Since the drops run almost immediately, the seats you free up are available to students immediately. If you were planning on using those seats to work your waitlist, they are lost.
- Keep in mind that these rosters are dynamic. Its is entirely possible that you will process a set of drops and return the next day to find three students flaged as unaccounted. This happens because the students added the course after you submitted the drops. This is one way to verify if the students were on the roster prior to processing the drop requests.
System Availability and Limits:
Availability: The system is available for active use beginning at 7:00 a.m. the first day of classes and will close at 5:00 p.m. of the fifth day of classes. You can go in now and look at it to familiarize yourself, but the save and submit attendance buttons are non-functional until the first day of classes.
Athletes: When a WEB attendance roster is submitted that contains athletes selected to be dropped, only the non-athletes are processed. If no errors occur during the submittal, the athlete still appears as Absent not yet dropped, and the application indicates Submission complete. The Registrar's Office runs reports to identify these students and courses, and we work with Athletics to drop non-attending student-athletes. Don't panic if you notice that an athlete was not dropped. Any athletes that contact you with questions as to why they were not dropped should be directed to contact the Registrar's Office.
